Work you’ll do
Manage office facility
- Maintain facility cleanliness, organization, and readiness for daily operations.
- Track, update, and reconcile office assets during the annual inventory process.
- Liaise with vendors and contractors for office repairs, maintenance, and improvements.
Carry out tasks related to fire prevention and firefighting
- Coordinate regular fire drills and training sessions in compliance with legal regulations.
- Maintain and inspect fire safety equipment (e.g., extinguishers, alarms) periodically with local authority.
- Ensure all emergency exit routes, signage, and procedures are clearly marked and up to date.
Supervise and ensure security for the entire Office
- Manage access control systems, including issuance and deactivation of access cards (if any).
- Work closely with security personnel or vendors to ensure coverage and incident response.
- Regularly assess security risks and propose solutions to address vulnerabilities.
General office support
- Assist in organizing and setting up internal meetings, workshops, or corporate events.
- Coordinate welcome and exit procedures (seating, access….).
- Support teams with logistics and coordination during Onsite project implementations.
General new joiner/employee exit support
- Prepare and distribute welcome kits, access cards, and office supplies for new joiners.
- Update employee relating data in systems upon joining or exiting the company.
- Ensure all items (keys, cards, equipment) are collected and deactivated upon exit.
Other admin-related tasks
- Handle administrative paperwork and maintain up-to-date records of forms and templates.
- Support vendor management: contract drafting, renewals, and performance tracking.
- Process and monitor vendor payments in coordination with the finance team.

Requirements
- Bachelor’s degree in related major (Administration, Engineering, etc.).
- At least 3 years of related experience in large companies/corporations or building management.
- Experience in working with payment systems such as SAP/Ariba is an advantage.
- Good communication skills, being able to communicate in English is preferred.
- Ability to learn and adapt quickly, hard-working.
- Proficient in computer skill (MS Word, Excel, etc.).
