Work you will do

 

The Executive Assistant cum Office Administrator Specialist is responsible for providing personal administrative support and assistance to the executives, as well as managing office-related tasks.

 

Primary responsibilities include:

 

Secretarial Tasks
•    Support three to four Senior Executives with daily secretarial tasks
•    Prepare and edit correspondence, communications, presentations, and other documents of the Executives if needed. 
•    Make travel arrangements and hotel reservations for the Executives. 
•    Provide updated travel protocol.
•    Plan meetings and take detailed minutes if needed.
•    Schedule appointments/calls/meetings and managing Executives’ calendar.
•    Receive and interact with Executive’s guests/visitors.
•    Coordinate, facilitate meeting logistics support.
•    Submit Executives' timesheets and expense claims.
•    Other tasks assigned by executives.

 

Office Administrator Tasks
•    To oversee and ensure reception operates with minimum interruption.
•    Building and maintain relationship with office vendor, negotiating and review annually. 
•    To be part of the employee engagement/social events committee to promote culture of excellence. 
•    To undertake responsibility as the ISO 27001 coordinator. 
•    To undertake responsibility of office document disposal process. 
•    To undertake responsibility as Floor Warden and act according to requirement of building security measures.
•    Manage office administrative tasks assigned by Team Lead.
•    Other tasks assigned by the Team Lead.

If you are someone with: 

•    Should possess a minimum Diploma / Private Secretarial Certificate.
•    A minimum of 5 years of working experience with at least 3 years in providing support at the executive level.
•    Proven ability to handle confidential and sensitive materials and critical assignments in a professional manner. 
•    Independent, meticulous and maintain high level of professionalism while also being able to collaborate effectively within a team.
•    Mature, responsible, and hard working with pleasant personality.
•    Able to priorities and multi-task.
•    Resourceful and well-organized.
•    Highly proficient in Microsoft Office.
•    Excellent communication skills, both verbal and written.
•    Able to commence within short notice will be desirable.
