As a Business Operations Specialist, you’ll play a key role in supporting the day-to-day operations and strategic initiatives of our Southeast Asia practice. You will work closely with Industry leaders to deliver timely, accurate, and meaningful operational support.

Responsibilities:

  • Manage end to end tender process for projects across all industries with a focus on government and SOE tenders, procurement registrations, and coordinating with project teams, partners, PO teams & QRM throughout the tender lifecycle.
  • Handle vendor registration processes on various e-Procurement platforms, coordinate with PO teams for supporting documents, and ensure timely renewal and accuracy of vendor databases.
  • Manage and maintain up-to-date legal documents, coordinate with external parties for renewals, and maintain proper filing systems.
  • Manage documentation and filing of project contracts (NDAs, amendments, BAST, BAPP), implement centralized filing system via SharePoint, and coordinate timely signing with authorized directors.
  • Monitor corporate email accounts, promptly review client notifications (tender invitations, e-Procurement updates), and forward relevant information to appropriate teams.
  • Provide administrative support and assist with other functions as needed.

Requirements

  • Bachelor Degree in Business, Finance, Accounting, or a related discipline.
  • Minimum 4 years of experience in business operations, project management, or a similar role, ideally within a professional services environment.
  • Proficient in Microsoft Excel, PowerPoint, and Outlook.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Effective communicator with good interpersonal skills and a collaborative mindset.
  • Self-starter who takes initiative, with a willingness to learn and grow within the role.

 

Experience in the following areas is highly regarded:

  • Experienced with tender preparation and submission, vendor registration, and e-procurement processes.
  • Skilled in overseeing internal reporting cycles and planning exercises.
  • Be a reliable and trusted team player who is proactive, responsive, and accountable.
  • Demonstrate ownership in your work and actively contribute to team outcomes.
