Work you’ll do

To monitor own portfolio of clients, maintaining and updating the secretarial records of the clients and advise or guide clients on policies, processes and statutory matters and be fully accountable for client servicing and relationship building with the assigned portfolio of companies

Attend Board meetings, Annual General Meetings, Extraordinary General Meetings and others where required, and undertake preparation of meeting notice, agenda and minutes

Responsible to review draft resolutions, annual returns and other corporate secretarial documents prepared for clients

To liaise with Companies Commission of Malaysia, Bursa Malaysia, Securities Commission and all other relevant authorities in connection with company secretarial matters and alert clients on regulatory updates

To assist on Bursa reporting and announcements for listed clients when required

To ensure prompt delivery of documents to clients and provide prompt response to clients’ enquiries and emails

To handle client acceptance procedures and other general administrative duties or ad hoc assignments as and when required

Requirements

Minimum 4 years of relevant company secretarial experience in commercial companies or medium to large secretarial service providers (strongly preferred) with PLC compliance knowledge an added advantage

ICSA or Degree / Diploma in relevant disciplines such as Corporate Administration, Business Administration preferably with SSM practicing certificate (licensed secretaries are encouraged to apply)

MAICSA / MACS membership is a plus.

Well versed with Malaysian Companies Act, 2016

Familiar and conversant with liaising and dealing with SSM, Bursa Malaysia and other regulatory acts, laws and guidelines

Familiar with hosting virtual meetings and recording of meetings

Experience in administering services to both private limited and public-listed companies, companies limited by guarantee and handling multinationals, regional offices and branch offices.

Good inter-personal and communication skills.

Able to work independently with strong sense of integrity, responsibility and trust.

Sound knowledge of MS Office and familiar with company secretarial software.
