Work you’ll do
A Travel Administrator plays a key role in supporting executives (Directors) by handling a range of administrative tasks. This position involves providing comprehensive assistance to ensure smooth and efficient executive operations.
Responsibilities:
Travel and Logistics Management
- Manage and maintain travel, hotel, and visa arrangements.
- Arrange internal and external logistics for off-site meetings, as needed. For meetings outside Malaysia, coordinate with respective country EAs for support.
- Work closely with the mobility team to ensure compliance with the latest travel protocols.
Timesheet and Expense Management
- Submit executives’ timesheets and expense claims via Concur, ensuring timely submission.
- Manage and respond to incoming queries related to T&T business unit.
Scheduling and Meeting Coordination
- Schedule and coordinate calls, meetings, events, and related logistics.
- Handle confidential materials professionally.
- Assist in compiling and producing meeting presentation materials.
- Prepare and edit correspondence and communications; file and retrieve documents and reference materials.
- Attend meetings and accurately record meeting minutes, when required.
Guest and Visitor Management
- Receive and interact with guests/visitors.
- Provide executive assistance support to visiting Executive Directors, as needed.
Internal Collaboration
- Liaise with internal staff at all levels.
- Collaborate closely with other Executive Assistants in the region, providing support during periods of absence.
- Provide administrative support to the management team, Team Lead and other departments as required.
Ad-Hoc Support
- Assist with ad-hoc matters assigned by the Team Lead, Regional Managing Director, Senior Directors, and Executive Directors.
- Support the Team Lead in organizing Firm events.
Requirements:
Education:
- Minimum Diploma in Business Administration or a related field preferred.
Experience:
- Proven experience as a Travel Administrator or similar role, preferably supporting a C-level executive.
- 1–2 years of relevant working experience preferred.
- Availability to commence on short notice is desirable.
Skills:
- Ability to multi-task and work within a matrix organizational structure with strong organizational and time-management skills.
- Capable of handling confidential and sensitive materials and critical assignments professionally.
- Independent, meticulous, and able to maintain high professionalism in a fast-paced environment.
- Excellent verbal and written communication skills.
- Highly proficient in Microsoft Office and Concur.
- Resourceful, well-organized, and proactive.
