Work you’ll do
Receptionist and Admin Assistant
The Administrative Assistant / Receptionist plays a crucial role in ensuring the smooth and efficient operation of the office by providing administrative and clerical support. This position serves as the first point of contact for visitors and clients, handling inquiries and directing them to the appropriate personnel.
- Effectively manages the front desk by warmly greeting and directing visitors, handling phone calls, and maintaining an organized reception area.
- Provides accurate information to inquiries and facilitates communication with both internal and external parties.
- Performs administrative support tasks, including data entry, scheduling appointments, and coordinating travel arrangements.
- Monitors and replenishes office supplies, ensures proper functioning of equipment, and supports meeting coordination, including setting up conference rooms and handling catering if necessary.
- Demonstrates knowledge in visitor management responsibilities, such as issuing badges and maintaining logs, with a strong emphasis on adherence to security protocols for maintaining a safe office environment.
- Collaborates with other administrative personnel and provides assistance to different departments as needed.
- Maintains records and logs of service requests and tracks their status.
- Maintains a file of services including transportation sources, accommodations, and referral contacts. May arrange convenience/hospitality services for guests such as transportation, tickets, reservations, etc.
- Performs other duties as assigned.
Responsibilities of Executive Assistant
- Provide administrative support to the Director and assist in managing office affairs
- Coordinate and schedule meetings, appointments, and travel arrangements
- Prepare reports, presentations, and correspondence on behalf of the Director
- Conduct research and gather information as required for various projects
- Handle confidential and sensitive information with the utmost discretion
- Receive and interact with visitors
- Liaise with internal and external stakeholders on behalf of the Director
Enough about us, let’s talk about you
- At least 4 years working experience as a Front Desk, Concierge, customer service or other relevant hospitality experience preferred.
- Strong interpersonal and communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational and multitasking abilities.
- Ability to handle sensitive and confidential information.
- Familiarity with office equipment, such as printers, copiers, and phone system
