Work you’ll do

 

Job Responsibilities:

Mailroom Operations 

  • Receiving, counting and recording of incoming mail items and /or hand delivered items (e.g registered articles , courier items, etc
  • Sorting of incoming mail items for distribution.
  • Processing outgoing mail / courier items by post or dispatch courier on a daily basis.
  • Preparation of forms, posting dockets, consignment notes, etc.
  • Plan and dispatch orders on a daily basis.
  • Checking on the daily usage of franking postages and submitting claims for approval on new funds when postage deposit is running low.
  • Checking of monthly invoices from outsource courier / service provider before submitting to finance department for payment.
  • Tabulation of internal dispatch staff jobs for recharging accordingly. 
  • Resolving ad-hoc courier services issues and other miscellaneous tasks.
     

Procurement 

  • Maintain orderly and processing purchase orders (POs) for approval relating to admin mailroom operations.
  • Check and validate to submit the completed POs tax Invoices to finance department.
  • Compile a monthly/quarterly/yearly PO report and submit to head of department for perusal.
  • Submitting a yearly budget for our library’s subscriptions and new purchases on other admin mailroom operations operating expenditures.


Library  

  • Assist to tracking/recording/renewing subscriptions of incoming publications and magazines.
  • Maintaining an updated copy of a circulation list for distribution of the subscriptions.
  • Updating of loose-leaf publications whenever there are updates received.
     

Operations / General Ad-hoc Duties

  • Updating/sending the “Distribution List” to the paper supplier for weekly delivery. 
  • Assist to be the Liaison officer with the respective Car park management to maintain/update records of our internal staffs’ Season parking matters i.e. sending of renewal memos/ issuing cheques for payment.
  • Liaising with vendors/suppliers in making orders for quotation, arrangement of delivery order and invoicing matters.
  • Ad-hoc duties as and when assigned by the immediate manager.

Requirements
 

  • Minimum Diploma / Degree holder. Preferably, candidate with at least 2 years relevant working experience in similar capacity.
  • Meticulous, possess initiative, with the ability to multi-task, organize and prioritize work. 
  • Good team player and with positive attitude.
  • Resourceful, self-driven and independent. 
  • Good communication and interpersonal skills (both written and verbal) and organization skills.
  • Prior work experience in admin mailroom Operations & procurement will be an advantage.
  • Proficient in Microsoft Office applications (Excel, Word, and PowerPoint)
