This role will report to Asia Pacific Financial Advisory leader to provide full 1:1 administrative & secretarial support, and it presents excellent opportunities for challenging work, professional development and career progression in the AP region.

 

Location: Singapore office

 

Work you’ll do

  • Full management of Leader’s calendar
  • Admin and logistics support for Leader’s regular and ad hoc meetings, video conference calls
  • Responsible for handling international travel arrangements, including flights, hotel reservations, transportations and visa arrangements.
  • Schedule and arrange virtual leadership meetings with the leadership team across AP region. Ensure to accommodate leadership team’s schedules, confirm and take attendance.
  • Schedule client meetings and project calls.
  • Assist with scheduling for leader’s committee and board meetings.
  • Distribute regular internal communications on behalf of leader.
  • Support the organisation of events including: invitations & responses coordination, location sourcing within set budget, catering coordination & run sheet
  • Logistics support for any visiting VIP including hotel arrangement; transportation; and agenda planning
  • Produce, draft and amend documents & respond to correspondence on behalf of leader
  • Prepare claims and reimbursements for business expenses and business trips
  • Manage timesheet reporting
  • Other ad hoc administration, secretarial or logistics activities as requested

Requirements

  • Minimum Diploma quaification in any disciplines
  • Extensive & demonstrated experience as an Executive Assistant to Senior C-suite level or equivalent Executives
  • Sound experience in global professional services and/or complex MNC organisations
  • Strong attention to detail, ability to work independently and autonomously
  • Strong interpersonal skills and ability to work effectively with a diverse group of stakeholders
  • Comfortable with ambiguity & change
  • Confident, professional; discreet and able to maintain confidentiality at all times
  • Exceptional written and verbal communication skills
  • Proficient with the use of Microsoft Office tools
