Work you’ll do

 

The Partner Affairs Office Administrator is at the heart of the team’s operations, rendering support and assistance to the SEA COO, SEA PAO Managing Director and its team members. Organized and analytical, the role anticipates the needs of the team, resolving operational and administrative matters before or as they arise. In addition, the ability to adapt, move quickly and communicate with a variety of job functions at all levels would enable the role to perform. The goal at the end of the day would be to assist PAO to manage the numerous simultaneous projects effectively and efficiently.  


Responsibilities:
•    Provide secretariat support to SEA COO, SEA PAO Managing Director and the PAO team, maintaining schedules and logistical arrangements including for travels.
•    Support scheduling of SEA Executive meetings, and necessary meals and logistic arrangements.
•    Arrange and coordinate partner admission interviews. 
•    Prepare and edit correspondence, communications, presentations and other documents.
•    Participate in and co-ordinate project-based work activities.
•    Organise and maintain repositories for documents, email, and reference materials.
•    Manage approval of purchase requisition and expense claims. 
•    Liaise with internal staff at all levels.
•    Other ad-hoc duties as assigned.

Requirements
•    Minimum Diploma / Private Secretarial Certificate.
•    3-5 years of working experience with at least 3 years in providing support at the executive level. 
•    Proven ability to handle confidential and sensitive materials and critical assignments in a professional manner. 
•    Independent, meticulous and maintain high level of professionalism.
•    Responsible and hard working with pleasant disposition.
•    Able to prioritise and multi-task.
•    Resourceful and well-organised.
•    Highly proficient in Microsoft Office.
•    Excellent communication skills, both verbal and written.
•    An eye for detail and ability to work in a fast paced and demanding environment.
•    Flexibility in working hours and availability required as and when needed.
•    Able to commence within short notice will be desirable.
