Title: VN - Admin Officer (Temporary Contract)
Key accountabilities:
- Manage, supervise & purchase the office assets, control the office asset code. Conduct annual stock take.
- Manage, supervise and control all office keys. Arranged appropriately, organized and manage office keys report.
- Responsible for regular checking of all office area, exit doors & the access list of the supplier to ensure the office security.
- Preparing logistics for new hires.
- Responsible for printing & managing office documents including but not limited to required internal working papers such as name card, letterhead, envelop, report cover, brochure, Poster…
- Working with the office greenery supplier; regularly check & make sure the tree is always in good condition.
- Responsible for managing and delivering seasonal gift products to staff and clients (Tet gifts, 8/3 gifts, Mid-Autumn Festival, October 20... etc and other events in the office. Managing & inventorying publications, gift products and reports to the superiors quarterly.
- Check the cost of overtime parking and confirm the costs with the building to issue an invoice.
- Prepare budget and work with supplier/agency to arrange meal for staff during busy season.
- Summarise and report office expenses, seek approval and send to F&A for payment.
- Manage, order office stationery and deliver to staff on daily basic.
- Other tasks as requested.
Job Specifications:
- Bachelor’s degree with at least 6 months of related experience
- Careful, detail-oriented, industrious, responsible, service-minded.
- Excellent work & time management skills
- Good communication skills in both English & Vietnamese
- Good office computer skills
